How do I create a booking? |
Best practice is to check the instructor's availability first - see which instructor is available for the aircraft/asset you wish to book. To do this, scroll down to the bottom of the calendar. Then click on 'Create Booking' from the bookings page or click and drag into the calendar for the time and asset you require. |
What is a 'draft' booking? |
A draft booking might be made when you wish to take down notes from a member. The booking is NOT committed to the system and is not confirmed. Until the booking is confirmed, another member/user may take that asset/instructor slot. Bookings with a draft or pending status will not show on the calendar, they will only show within the table view. |
Why do bookings need to be approved? |
You may wish for a certain person in the team to approve bookings. Members must have all bookings approved by an admin. |
What is the maintenance page for? |
If an asset is booked into service for a certain time period, add the details here. This will prevent the asset from being booked when it is not available. |
What is an 'asset'? |
An asset usually will be an aircraft, but it can be anything members can book, such as examination rooms, classrooms, meeting rooms, simulators, etc. |
What rights does an instructor have? |
An instructor can only create bookings which require approval by an admin. To create approved bookings, you must have admin rights. |
How are instructor working times set? |
Regular working times can be set for an instructor for each day of the week. For any special circumstances, extra working times can be entered for specific days. For any days off, off times can be entered for a date range. |
Are instructors and members required to have an account? |
No, only admins are required to have an account. Accounts for instructors and members are optional but recommended. |
Does the system send out notifications? |
Yes, the system sends out an email notification to both the instructor and member anytime a booking has been approved or rescheduled. |
Can the system check for conflicts? |
Yes, the system checks for conflicts via a variety of sources such as asset booking conflicts, instructor availability conflicts, asset maintenance, etc., and will alert the user in any of these cases. |
Are any logs kept on the system? |
Audit logs are kept for each user and booking for those with the admin role to view. Logs are created whenever any update is made to a booking. |
How to update the front/home page? |
Users with the admin role can navigate to Settings and make updates such as changing the school status, changing the weather station data point, adding school news updates, and publishing helpful links for users. |
Can I add my own logo? |
Yes, you can upload your own logo in either PNG or JPG format via the General Settings page. A transparent background logo is recommended for best results. |
Is the system backed up? |
Yes, our database has a duplicate copy kept at all times. |
